How Scan Me Home collects, uses, shares, and protects information across its app, QR safety profiles, website, products, and support services.

Scan Me Home ("Scan Me Home," "we," "us," or "our") provides QR code-based safety identification tools for caregivers of nonverbal individuals and others who may need help communicating in an emergency. This Privacy Policy explains how we collect, use, disclose, retain, and protect information when you use the Scan Me Home mobile application, public QR profile pages, related websites, products, and support services (collectively, the "Service").

1. Information We Collect

The information we collect depends on how you use the Service.

Account and caregiver information

We may collect:

  • your name, email address, password or other authentication credentials;
  • phone number and backup phone number;
  • mailing, billing, and shipping addresses;
  • profile photo, user type, organization or company affiliation, and account settings;
  • emergency-contact names and phone numbers; and
  • notification preferences, subscription status, and account creation or update dates.

Passwords are handled through our authentication provider. We do not receive them in readable form.

Information about a person in your care

A caregiver may create a safety profile for another person. Depending on what the caregiver chooses to provide, that profile may include:

  • first and last name;
  • date of birth, age, gender, and photograph;
  • a physical or personal description;
  • whether the person is verbal;
  • disability, medical, special-needs, or accessibility information;
  • special handling or emergency instructions; and
  • information linking the person to a caregiver, emergency contact, QR code, kit, or safe zone.

This information can be sensitive and may concern a child. Please provide only information that is necessary for the safety purpose of the Service and that you are authorized to provide.

QR code, scan, location, and safety information

When a QR code is created, activated, or scanned, we may collect or generate:

  • the QR identifier, backup code, activation status, linked profile or kit, and creation date;
  • scan date and time, scan result, and scan history;
  • device or scanner information submitted with the scan;
  • precise or approximate location, location accuracy, or a derived address when location permission is granted;
  • safe-zone names, descriptions, center coordinates, radius, and entry or exit alert settings; and
  • emergency-alert messages, notification records, and related delivery information.

Location access is optional and controlled through your device settings. Some location-based safety features will not work if permission is denied.

Photos, camera, and device permissions

With your permission, the Service may access the camera to scan QR codes, the photo library to select or save profile photos, location services for scan and safety features, notifications to deliver scan and emergency alerts, and Face ID or other device biometrics to protect access to the app.

Biometric matching is performed by your device's operating system. Scan Me Home does not receive or store your fingerprint, facial template, or other biometric template. We store only your choice to enable or disable biometric access on the device.

Orders, subscriptions, and payments

If you buy a physical product or use a paid service, we may collect products, quantities, selected options, order totals and history; recipient and shipping information; payment status and transaction identifiers; and subscription, cancellation, trial, or renewal status.

Payment card details are entered into and processed by Stripe or the applicable app-store payment provider. Scan Me Home does not receive your full payment card number through the app's payment flow.

Communications, device storage, and legacy service information

We collect information you send to support and may keep records of transactional messages. The app may store short-lived cached data, preferences, and queued offline changes on your device. If an authorized migration is performed, we may receive account, caregiver, profile, photo, QR code, kit, and related records from the legacy provider.

2. How We Use Information

We use information to:

  • create, authenticate, secure, and manage accounts;
  • create and maintain caregiver and safety profiles;
  • generate, activate, and resolve QR codes and kits;
  • show selected safety and emergency information when a QR code is scanned;
  • record scan history and provide location, safe-zone, email, and push-notification features;
  • contact caregivers or emergency contacts when a scan or emergency event occurs;
  • process orders, payments, subscriptions, shipping, and customer support;
  • provide data export and account deletion tools;
  • migrate authorized legacy account information;
  • troubleshoot, prevent misuse, protect the Service, and enforce our terms; and
  • comply with legal obligations and protect the rights, safety, and property of users, the public, Scan Me Home, and others.

Where required by law, we rely on an appropriate legal basis, such as performing a contract, consent, legitimate interests, compliance with law, or protecting a person's vital interests.

3. Public QR Safety Profiles

The central purpose of the Service is to let someone who finds or assists a person scan a QR code and view safety information without needing the Scan Me Home app. Information selected for a QR safety profile may therefore be accessible to anyone who possesses or scans that code or has its web address. Depending on the approved public-profile configuration, this may include a photo, identifying details, caregiver or emergency-contact information, disability or special-needs information, and emergency instructions.

Treat a QR code like a key to the associated safety profile. Do not include information that is not needed for the intended safety purpose. If a code is lost, copied, or shared unexpectedly, contact support@scanmehome.com.

4. How We Disclose Information

We may disclose information:

  • To people who scan a QR code. We display the information selected for the associated public safety profile.
  • To service providers. Providers may support hosting, authentication, databases, storage, server functions, notifications, email, payments, app distribution, customer support, and other operations. Current integrations include Supabase, Google Firebase Cloud Messaging, Stripe, and Apple platform services.
  • To fulfillment and business partners. We may provide order and shipping information to vendors that manufacture, fulfill, or deliver physical products.
  • At your direction. We disclose information when you request or authorize it.
  • For legal and safety reasons. We may disclose information to comply with law, prevent fraud or abuse, or protect a person's rights, property, health, or safety.
  • For a business transaction. Information may transfer in connection with a merger, financing, acquisition, reorganization, bankruptcy, or sale, subject to law.

We do not sell personal information for money. Based on the current Service design, we do not use personal information for third-party targeted or cross-context behavioral advertising.

5. Data Retention

We retain information for as long as reasonably necessary to provide the Service, maintain safety and scan records, fulfill orders, manage subscriptions, comply with legal and financial obligations, resolve disputes, enforce agreements, and protect users and the Service.

Retention periods vary by the type of information and the reason it is held. When information is no longer needed, we take reasonable steps to delete or de-identify it. Some information may remain for a limited time in backups, fraud-prevention records, transaction records, or records required by law.

6. Your Choices and Privacy Rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or obtain a portable copy of personal information; withdraw consent; change device permissions; object to certain processing; and appeal a privacy-request decision.

The app includes controls to request a data export and account deletion. You may also contact support@scanmehome.com. We may need to verify your identity and authority before completing a request. Some requests may be limited where retention or processing is required by law or necessary to protect another person's safety or rights.

7. Children's Privacy

The Service is designed for adult parents, legal guardians, and other authorized caregivers. It is not intended for a child to create or operate an account independently.

An adult who submits information about a child must have the authority and any legally required consent to provide and disclose it for the Service's safety purposes. If you believe information about a child was provided without proper authorization, contact support@scanmehome.com.

8. Security

We use administrative, technical, and organizational measures intended to protect information. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

Because QR safety profiles are intentionally available to people who possess the code or link, the information selected for those profiles should not be treated as private account-only information.

9. International Processing

Scan Me Home and its service providers may process information in the United States and other countries where they operate. Those countries may have privacy laws different from the laws where you live. Where required, we use appropriate safeguards for international transfers.

10. Third-Party Services and Links

The Service may link to or rely on third-party services. Their handling of information is governed by their own terms and privacy policies. We encourage you to review the policies of Supabase, Google Firebase, Stripe, Apple, and any other service you choose to use through Scan Me Home.

11. Changes to This Policy

We may update this Privacy Policy to reflect changes to the Service, our practices, or applicable law. We will update the date above and provide any additional notice required by law.
